Position: Branch Accounts and Operations Officer (BAOO)

Number of Positions: 6
Job Location: Field Offices – Muhanga, Ruhango, Nyanza, Huye, Nyamagabe & Nyaruguru Districts
Employment Type: Regular / Fixed-Term
Salary: Negotiable


About the Role

The Branch Accounts & Operations Officer (BAOO), reporting to the Regional Accounts Officer (RAO) and the AIM Branch Manager (AIM-BM), will manage branch-level finance, accounts, procurement, coordination, partnerships, and administrative tasks.

The role includes:

  • Day-to-day financial management

  • Staff support and capacity-building

  • Financial monitoring

  • Ensuring effective and timely program implementation

  • Reporting (MIS, internal, donor)

  • Supporting technical and operational activities at branch level

The BAOO supports the Branch Manager (BM) in ensuring high-quality program delivery and compliance.


Key Duties & Responsibilities

1. Finance & Accounts Management

  • Record all Mobile Money deposits and maintain daily registers with proper approvals.

  • Review expected daily Mobile Money inflows with the BM and PAs.

  • Share collection sheets with PAs based on the VSLA platform.

  • Reconcile collections with the accounting system.

  • Submit cash requisitions signed by the BM to the RAO.

  • Perform daily and month-end cash reconciliations.

  • Ensure timely cash transfers under the Education Pathway.

  • Track cash flow for smooth program implementation per country policy.

  • Record all branch expenses in the accounting system to ensure timely month-end closing.

  • Serve as custodian of all financial documents for audits, monitoring, and supervision.


2. Branch Operations Support

  • Visit AIM clubs, YDC and VSLA meetings, and ongoing field trainings.

  • Support the recruitment of mentors.

  • Support identification of club spaces and ensure agreements are completed as per guidelines.

  • Identify service providers and establish partnerships.

  • Identify schools for educational support as per program design.

  • Ensure timely disbursement of livelihood and education support.

  • Lead branch-level procurement activities according to procurement guidelines.

  • Manage stock registers for electronic devices and furniture.

  • Act as the technical focal point for Binsight and other digital tools.


3. Technical & Implementation Support

  • Support the BM in planning, supervising, and monitoring AIM program activities.

  • Participate in staff onboarding, training, and activity planning.

  • Ensure effective use of the Binsight app for all required activities.

  • Provide technical guidance to staff in matching participants to livelihood and education pathways.

  • Support preparation and submission of MIS, financial, and donor reports.

  • Assist in establishing market development and value-chain activities.


4. Supervisory & Coordination Support

  • Lead branch-level operations and serve as the second focal point for stakeholders.

  • Supervise administrative staff and provide guidance and performance feedback.

  • Co-facilitate monthly coordination meetings.

  • Support monitoring, research, and surveys, including household surveys.

  • Assist in organizing community dialogues, workshops, and meetings.


5. General Administration Support

  • Ensure smooth functioning of the branch office and a safe working environment.

  • Monitor and replenish office supplies and consumables.

  • Maintain effective administrative record-keeping systems.

  • Serve as branch focal person for safety and security matters.

  • Ensure timely incident reporting and documentation.


6. Safeguarding Responsibilities

  • Ensure safety from harm, abuse, harassment, and exploitation.

  • Provide safeguarding guidance and support to team members.

  • Promote safeguarding principles and ensure they are integrated into all activities.

  • Follow safeguarding reporting procedures and encourage others to do so.


Academic Qualifications

  • Bachelor’s degree (preferred) or Diploma in:

    • Finance

    • Accounting

    • Business Administration

    • Commerce

    • Any related field


Experience Required

  • Minimum 2 years’ experience in national or international development organizations.

  • Experience managing finance/accounts for programs such as:

    • Microfinance

    • Livelihood

    • Education

    • Agricultural and food security

    • Women’s and girls’ empowerment


Required Skills & Competencies

  • Strong project management and coordination skills

  • Experience in supervision and monitoring

  • Strong administrative, finance, and logistics abilities

  • Proficiency in Microsoft Office

  • Strong teamwork and interpersonal skills

  • Integrity, credibility, and commitment to BRAC’s mission
