Position: Receptionist
Department: Rooms Division
Reports to: Front Office Manager

Job Purpose
The Receptionist will be responsible for ensuring efficient, prompt, courteous, and professional front office services related to guest arrivals, departures, and in-house experiences — in line with company policies and procedures. The role aims to enhance guest satisfaction and support smooth hotel operations.
Key Responsibilities
1. Front Office Operations
-
Understand and implement company Policies, Procedures, and Financial Principles related to front office operations.

Perform and verify cashier functions according to company standards.
-
Process and reconcile daily banking transactions accurately.
-
Ensure guest data is correctly captured and updated in the Property Management System (PMS).

Maintain guest accounts and ensure all transactions are accurately processed during their stay.

Perform float checks after each shift and ensure all reports are properly signed off by supervisors.

Complete and verify rate and pit check reports for every shift.
-
Prepare and attach required daily shift reports, signed off by management.

Record and follow up on any variances or queries in coordination with the Front Office Supervisor.

Ensure full compliance with Audit and Front Office policies.

Conduct monthly stock takes of front office supplies and stationery.
2. Guest Service & Communication
-
Maintain strict security procedures for cash, credit transactions, room keys, and guest privacy.

Communicate effectively with guests and other hotel departments to ensure smooth operations.

Be fully familiar with Accor loyalty programs, audit systems, and service measurement programs.

Allocate rooms, issue keys, and manage guest check-in/check-out efficiently.

Stay informed about current room status, availability, and hotel promotions.

Handle guest issues and complaints courteously and professionally.

Support teamwork by cooperating with colleagues and assisting as required.
3. Administrative & Reporting Duties
-
Maintain accurate records and filing systems within the Front Office department.

Produce and submit all required reports on time and with accuracy.

Serve on hotel committees as assigned by the Front Office Manager or General Manager.

Ensure proper key control and security protocols are observed.

Perform other duties as may be assigned by management.
Qualifications, Skills, and Experience
-
Bachelor’s degree in Hospitality Management or a related field.

Minimum 2 years’ experience in front desk or reception roles.

Strong verbal and telephone communication skills.
-
Excellent customer service orientation and active listening skills.
-
Organized, resourceful, and detail-oriented.
-
Proficient in OPERA Property Management System (PMS).
-
Ability to work under pressure and maintain professionalism.
Working Conditions

The role may require extra hours, including weekends and public holidays.

The candidate must be willing to work in a dynamic hospitality environment.
